Meeting or Event/Function Space Request Form

Organizations planning meetings and/or events during PCMA’s edUcon 2025 in Louisville, KY from Sunday, June 1 to Wednesday, June 4th, must submit this form for PCMA’s approval before booking space, arranging logistics, or promoting the event. Meetings and/or events cannot take place, nor can transportation be arranged to/from events during official PCMA edUcon activities. This restriction also applies to meetings and/or events held at the official PCMA hotels, regardless of location/venue, including events considering using official PCMA hotels.

Meetings and Events at Official PCMA Host Hotels:
For space requests at official PCMA hotels, PCMA will assess availability, secure the appropriate space, and confirm with you and the venue. You will then be connected directly with a facility representative to finalize all event details and billing procedures. Approval notifications will be sent no later than 5-7 business days from receipt of form.

Meetings and Events Outside of Official PCMA Host Hotels:
If you are securing space outside of official PCMA Host Hotels, please complete and submit the form. You will receive notification of approval no later than 5-7 business days from receipt of form.

Submitting the form indicates your agreement to the PCMA Board of Directors Approved Supplier Policy for Events.
